Job Description

We are looking for a Senior Information Governance Administrator to join our team at Cygnet.

Cygnet was established in 1988. Since then we have developed a wide range of health and social care services for young people and adults with mental health needs, acquired brain injuries, eating disorders, autism and learning disabilities within the UK.

The Senior Information Governance Administrator will be assisting the Information Manager, Information Governance Manager, Data Protection Officer and the Head of Information Security & Governance with the varied information and data quality requirements of the Cygnet group. This will include Data Quality and Structure administration tasks, Information Requests, Data Quality Policies, System Support, advice, guidance, audits and Data Quality Improvement Plans. As part of the role you will be ensuring compliance with the Data Protection Act 2018, UK GDPR and the NHS Data Security & Protection Toolkit (DSPT) requirements.

Key responsibilities will include responding to, or assisting with requests for information requests including data quality. You will be self-motivated and approachable with excellent people and communication skills and will be keen to develop your existing skills and experience in information administration.

The Senior Information Governance Administrator is required to:

  • Assist with Information Request Process: Assist with the end-to-end process of handling Information Requests, ensuring timely and accurate responses in compliance with GDPR and other relevant data protection laws.
  • Senior Administration: Be a key referral point, providing guidance and support to ensure efficient and effective handling of requests. Support the Information Manager with the alignment of duties to the Information Governance Framework. Create and maintain a reporting work plan to ensure the reporting requirements of the team are recorded and actioned appropriately and within relevant timescales. Ensure all data is maintained, updated, archived and destroyed in accordance with policy and Data Protection legislation. Complete data quality checks and assign work where needed to administrators to ensure data quality is maintained. Support Information Asset Owners & Administrators in the execution of their duties. Maintain a log of all Data Quality issues, outcomes, recommendations and actions. Monitor and Improve Data Quality across Cygnet systems in liaison with the wider business functions.
  • Policy Development: Assist with the development, implementation and maintenance of policies and procedures related to requests, information security, data management, and records retention.
  • Training and Awareness: Raise awareness of the importance of accurate and thorough record keeping standards and encourage all staff that hold, obtain, record, use and share information do so in accordance with Cygnet Policies and good practice. To identify own training needs and undertake regular continued professional development
  • Compliance: Take a lead in ensuring that the data quality element of the annual DSPT assessment is completed each year in conjunction with Cygnet's Digital Services department.
  • Stakeholder Engagement: Liaise with internal and external stakeholders, including service users, legal teams, and regulatory bodies, to address requests and related inquiries.
  • Data Security: Ensure that all Information related work streams and requests are processed in a manner that protects the confidentiality and security of personal data.
  • Reporting and Analysis: Assist with the preparation of regular reports on various request activity, identifying trends and areas for improvement to enhance the efficiency and effectiveness of the processes.
